The “Activity & storage” dashboard provides an overview of SharePoint storage usage across the tenant. It highlights current storage consumption, storage trends, projected growth, reclaimable storage, and the sites or items contributing most to storage usage.
The dashboard also shows storage that can potentially be reclaimed through supported policy remediation workflows.
Storage consumption overview
“Storage used” widget
The “Storage used” widget shows the amount of SharePoint storage currently in use compared to the total storage available for the tenant.
The widget also shows the percentage of total tenant storage currently consumed. A progress bar appears below the main value.

Prepaid and added storage breakdown
In some tenant configurations, the widget shows an additional breakdown.
This applies when the tenant includes an original prepaid storage quota and additional storage was added later. In this case, the widget distinguishes between:
- the original prepaid quota
- the amount already used from that quota
- the additional storage added afterward
If this condition does not apply, the widget shows only the standard usage bar.

Virtual Tenant filtering
This widget supports Virtual Tenant filtering.
When a Virtual Tenant filter is applied, the displayed storage value reflects only the storage used within the selected Virtual Tenant scope. The label changes to indicate that the value is calculated for the selected scope.
Time range and trend
The widget includes a time filter with the following options:
- Last 7 days
- Last 30 days
- Last 90 days
- Last 180 days
A trend indicator appears next to the main value. The trend compares the current snapshot with the first day in the selected time period.
Storage trend and projection
“Storage forecast” widget
The “Storage forecast” widget shows SharePoint storage usage changes across the previous six months and an estimated storage range for the following three months.
The estimate is based on the storage trend observed in the previous months. It shows a projected range for increase or decrease if the recent pattern continues.
Forecast interpretation
The forecast is based on historical storage data and should be treated as directional guidance rather than a guaranteed outcome.

Potential storage recovery
“Reclaimable storage” widget
The “Reclaimable storage” widget shows the amount of SharePoint storage that can be reclaimed through policy remediation, subject to policy review and execution.
It also shows the percentage of total tenant capacity represented by that reclaimable amount.
How reclaimable storage is calculated
The total reclaimable amount is calculated as the sum of up to three storage-related policies:
- Sites in recycle bin
- Items with a high number of versions
- Files in Preservation Hold Library
Each policy contributes its own reclaimable amount to the total.
The widget identifies reclaimable storage from:
- sites currently in the recycle bin
- excess file versions
- files stored in the Preservation Hold Library

Available actions
The widget header includes a “Manage policies” action, which allows you to enable or disables policies. The “Edit” button opens the corresponding "Edit predefined policy" page.

Each policy row includes a “Review” action. Selecting “Review” opens the corresponding policy report page, where matched items can be reviewed and the actions available for that policy can be performed.
Behavior when policies are disabled
The widget display changes based on policy status:
- If all three policies are disabled, the widget does not calculate reclaimable storage and instead shows a message prompting policy enablement.
- If one or two policies are disabled, those entries appear disabled or greyed out, and their storage is not included in the total reclaimable amount.

Top items identified by reclaimable storage policies
“Top items by reclaimable storage” widget
The “Top items by reclaimable storage” widget complements the “Reclaimable storage” widget by listing the top items identified by the same policies.

Tabs in the widget
Sites in recycle bin
Shows the top sites currently in the recycle bin and the storage used by each site.
Large files with many versions
Shows the top files identified by the policy as having a high number of versions. The list is ordered from the largest storage consumer to the smallest and includes:
- the file
- the number of versions
- the storage consumed
This view depends on policy thresholds configuration for:
- the minimum number of versions
- the storage threshold, defined in megabytes
Files in Preservation Hold Library
Shows the top files in the Preservation Hold Library and the storage used by each file.
Large files by size
Shows the top files whose storage is greater than the threshold defined in the policy.
“See more” action
The widget includes a “See more” action that opens the corresponding policy report page, where matched items can be reviewed and the actions available for that policy can be performed.
Sites with the highest storage growth
“Top sites by storage growth in the selected period” widget
The “Top sites by storage growth in the selected period” widget shows which SharePoint sites grew the most during the selected period, ordered from the largest increase to the smallest.
Time range
This widget includes a dropdown for selecting the analysis period. Available options are:
- Last 7 days
- Last 30 days
- Last 90 days
- Last 180 days
The value shown for each site represents its storage growth during the selected period.
