How to convert a shared mailbox to a user mailbox

Sometimes you may need to convert a shared mailbox to a user mailbox. This article will explore three different methods to accomplish this.

1. Converting a Shared Mailbox to a User Mailbox in Exchange Online (Microsoft 365)

To convert a shared mailbox to a user mailbox in Microsoft 365:

  1. Assign a license: in the Microsoft 365 admin center, locate the user account associated with the shared mailbox and assign it an Exchange Online license.
  2. Reset the password: set or reset a password so the user can log in directly.
  3. Convert the mailbox:
    • Go to the Exchange admin center.
    • Navigate to Recipients > Mailboxes.
    • Select the shared mailbox.
    • Click “Convert to regular mailbox” and follow the prompts.
  4. Verify access: wait a few minutes for the mailbox to finish converting. The user can now sign in directly to access email and calendar content.

After conversion, review permissions to ensure only the intended user retains access.

 

For Exchange Server (on-premises)

To convert a shared mailbox to a user mailbox in Exchange Server (on-premises), use PowerShell:

Set-Mailbox "MailboxName" -Type Regular

Replace MailboxName with the name or email address of the mailbox.


2. Converting a Shared Mailbox to a User Mailbox in the Exchange Admin Center

  • Go to the Exchange admin center.
  • Select “Mailboxes”.
  • Select the shared mailbox you want to convert to a regular user mailbox.
  • Click on “Convert to regular mailbox” on the top menu.
  • Go back to the Microsoft 365 admin center Under “Users”, choose the user account associated with the old shared mailbox. Assign a license to the account, and then reset the password.
  • It will take a few minutes for the mailbox to get set up, but after that, the person who's going to use that account is ready to go. When they sign in, they'll see the email and calendar items that used to be in the shared mailbox.

3. Converting a Shared Mailbox to a User Mailbox in CoreView

To convert a shared mailbox into a regular mailbox using CoreView follow the steps below:

  • Go to the CoreView Portal.
  • Under “ACTIONS” select “Management actions”.
  • Then choose the “Mailbox” category and select “Edit mailbox type”.
  • This will open up the “Edit mailbox type” wizard.
  • You can search for the shared mailbox you want to convert or apply a filter under “Recipient type details” to show only the shared mailbox.
  • In the following tab, select “User mailbox” under “Mailbox type” and submit the action.

Operators will only be able to view and manage mailboxes that are part of their defined V-Tenant scope.
