The “SharePoint sites” report simplifies the management of settings that typically require access to the SharePoint Admin Center and individual SharePoint sites. It consolidates these settings into a single interface.
This report includes attributes such as:
- Title
- Site URL
- Site primary administrator
- Last activity date
- Storage used (in MB)
- Storage used (as a percentage)
- Sharing settings
Storage information
Storage Used (MB): Shows the amount of storage in megabytes utilized by the SharePoint sites.
Storage Used (%): Displays the percentage of storage space used relative to the total allocated space. This feature allows the creation of dynamic custom reports and playbook policies to monitor storage limits.
Management actions and Workflows are not included in the Essentials solution.
Managing sharing settings
The report provides access to management actions like “Edit members sharing settings” and “Manage SharePoint sharing settings”. To edit settings for one or more SharePoint sites, select them and choose the desired action in the Manage panel. You'll be guided through the respective management wizard.
In the “Manage SharePoint sharing settings” wizard, you can specify the sharing permissions for the site's content, set guest access expiration, and choose the default link type and permissions for sharing. It also offers advanced options for external sharing.
The “Edit members sharing settings” wizard allows you to control what site members can share, with options including:
- Files, folders, and sites
- Only files and folders
- Disabled
Select your preferred setting and click “Submit” to apply changes.
Managing access settings
The Manage panel also gives you access to “Edit SharePoint access request settings” for managing access to selected SharePoint sites. This is useful when attempting to access a site without existing permissions.
In the management wizard, you can choose from the following access settings:
- Enabled - site owners: site owners have the authority to approve access requests.
- Enabled - custom email: specify an email address for the individual responsible for approving requests.
- Disabled: access requests are not permitted.
Workflow execution
Additionally, you can execute Workflows directly from this report using the “Execute Workflow” action in the Manage panel. This feature streamlines the process of managing SharePoint sites and their settings.
