SharePoint items with unique permissions: overview

Managing permissions for SharePoint files and folders allows you to review access assignments on documents and folders. When users share content by granting direct access or creating sharing links, permission inheritance can be broken, creating unique permissions on individual documents or folders. Unique permissions can create access assignments that differ from the parent site, library, or folder and therefore require separate review.

The “Items with unique permissions” report includes the following tools for reviewing and modifying unique SharePoint permissions:

  • Items with Unique Permissions report: lists SharePoint items (files and folders) with permissions that differ from their parent and includes details about who has access and how access was granted. Refer to the report documentation for report management and export options.
  • Granted Access panel: displays the users, groups, and links that grant access to each item, including the scope and method of access.
  • Manage Access panel: allows Tenant Admins and delegated operators to modify or revoke access for users, groups, or links on one or more items.

Tenant Admins and delegated operators can use these features to review SharePoint permissions, inspect access assignments on selected items, and modify user, group, or link-based access where permitted.
